Amenity Coordinator

Our amenity coordinator is in charge of working with the conference team to design and procure all amenities to ensure our participants receive amazing swag and gifts during the convention.  We're looking for a modern approach in 2021, unlike anything our attendees have ever seen.  

Attributes: The person who holds this position is creative, has a modern approach to gifting, and can work within a team.

Time Commitment:  1 hour per month up to conference and closer to the conference.

Scheduling Coordinator 

The Scheduling Coordinator is in charge of scheduling and communicating the dates/times of all meetings as well as the overall schedule for the entire conference.  This includes scheduling all meetings prior to and after the convention, monitoring due dates for project deadlines, and creating the master schedule for the conference itself.  The Scheduling Coordinator is responsible for working with the entire team to ensure proper communication across all members.  

Attributes: The person holds this position is detail-oriented, able to work with teams, and communicate effectively.

Time Commitment:  Approximately 3 hours per month and a heavier schedule closer to the conference.

Logistics Coordinator

The Logistics Coordinator is responsible for working across all teams to understand their needs in all physical spaces at the convention.  This includes working directly with the hotel to ensure diagrams are set up and executed properly in all spaces, all supplies and packages are transported to their desired locations.  This person is also responsible for shipping out all packages including SWAG to virtual attendees.

Attributes:  The person who holds this position can contribute physically, understands transportation and detailed oriented and organized.

Time Commitment:  10-20 hours before, during and after the convention.

Marketplace Manager

The Marketplace Manager is responsible for all activities related to the new Marketplace.  This includes setting goals, delegating, and monitoring all tasks of the Marketplace Coordinators to ensure we have an incredible marketplace and our vendors are all VIPs!  This position is also responsible for cross-functionally working with the team to ensure marketing, logistics, and our faculty are aware of all activities.

Time Commitment:  Approximately 3-5 hours per month + additional time before and during the convention.

Marketplace Coordinator (3 Positions Available)

Each one of our Marketplace Coordinators are responsible for working with our Marketplace Manager to create the best experience for our attendees and vendors within The Marketplace.  This includes working to fill the Marketplace openings with unique, diverse, and amazing vendors.  Communicating with the vendors and ensuring they have everything they need to be successful.  

Attributes: The person who holds this position is detail-oriented, works well in a team environment, and has amazing communication skills.

Time Commitment:  3-5 hours per month + additional time before and during the convention.

Marketing Manager

The Marketing Manager is responsible for all activities related to marketing the convention and coordinator of the various support positions (website, graphics, social and email).   This includes working with the conference manager to develop and execute the master marketing strategy with the Marketing Coordinators.  

Attributes: The person who holds this position is well versed in marketing and technology.  

Time Commitment:  Approximately 5-10  hours per month.

Marketing Coordinator - Website

The Marketing Coordinator is responsible for updating the website with information (text and imagery) received from all teams including the Scheduling Coordinator, Tradeshow Coordinators, Faculty, Activity Coordinators, etc.  

Attributes:  The person who holds this position is well versed in website layout, hyperlinking, video, and minor html integrations with a templated website.  Code writing is not required.  Detail-oriented, technical, and able to work with various teams are important qualities of whoever takes this position.

Time Commitment:  Approximately 3 hours per month.

Marketing Coordinator - Graphics Designer

The Marketing Coordinator is responsible for creating a consistent brand across the entire conference.  This includes creating marketing collateral upon request from various positions within our operations team and from the faculty.  Primarily using Canva, you'll be receiving emails from our team to create flyers, postcards, graphics, forms, or anything they need to successfully fulfill their role within the conference.  

Attributes:  The person who holds this position is creative, has a modern approach, and can ensure our brand is consistent across all collateral.  

Time Commitment:  Approximately 4-6 hours per month.

Position: Open

Marketing Coordinator - Social Networking

The Marketing Coordinator is responsible for managing all social networking channels and ensuring regular posts, updates, and CTA's.  Specifically, we ask that LinkedIn, Instagram, and Facebook are managed including updating cover photos, text and information, and posts that will attract potential attendees and vendors and keep our community updated.  You will receive information from all of our operational team positions.

Attributes:  The person who holds this position is detail-oriented, has amazing creativity and grammar, and can work within a team environment (including our graphics designer). 

Time Commitment:  6-8 hours per month with additional time (immediately) to get all of our marketing channels updated with the new name and location.

Marketing Coordinator - Email Marketing

The Marketing Coordinator is responsible for receiving information from all of our operational team positions and compiling the communication emails to our vendors and potential attendees along with survey creation. 

Attributes:  The person who holds this position is well versed in Constant Contact and can work well within a team environment.  

Time Commitment:  3 emails per month approximately 30 minutes build time for each email + an additional 4-5 hours per month soliciting and receiving information from the various teams.

Onsite Design Coordinator

The Onsite Design Coordinator is responsible for designing the stage, attendee tables, and additional common areas and working within the budget allocated.  Audio and video technology design is included in this position.

Attributes:  The person who holds this position is creative and able to work within a budget.

Time Commitment:  1 hour per month or as needed until the design is completed and approved + additional time at the convention for setting up and tearing down.

Faculty Coordinator

The Faculty Coordinator is responsible for working with all instructors to ensure our faculty receives all proper communication of due dates.  This position is responsible for supporting the faculty by working with the marketing team to update the website with course descriptions, having graphics, or other supporting documents created and marketing their classes.   The Faculty Coordinator works with The Scheduling Coordinator to ensure all due dates are met.

Attributes:  The person who holds this position is detail-oriented, creative, and works well within a team environment.

Time Commitment:  3-5 hours per month

Position: Sharon Day

Administration

Our Administrator is responsible for coordinating all meeting dates with the Scheduling Coordinator, taking notes and distributing them to all teams, and supporting the team managers as requested.  The Administrator manages our mailing list, facilitates answers to common questions, and assists with misc projects to support the conference.  Our Administrator is responsible for managing all registrations of attendees and vendors including payments, payment plans, and all details related to registrations.

Attributes:  The person who holds this position is detail-oriented, responsive, and has great grammar and writing skills.  

Time Commitment:  12-15 hours per month.

The Show Your Style Coordinator

The SYS Coordinator is responsible for designing the competition, providing the category information to the marketing team and working on the details of the competition through its completion and execution.

Attributes:  The person who holds this position has experience with the convention in general and is a gift designer.

Time Commitment:  8-10 hours in total.

The Dinner Coordinator

The Dinner Coordinator is responsible for creating the theme and details for our 10th Convention celebration evening and aiding in the set up of the dinner.   You'll be the MC for the evening (or you can choose an MC), too!  

Attributes:  The person who holds this position is detail-oriented, organized, creative, and fun!  

Time Commitment:  10-12 hours in total.

Position: Lauri Williamson

The Warehouse Tour Coordinator

The Warehouse Tour Coordinator is responsible for obtaining a local company that can transport our visitors to the warehouse and back, tracking the number of attendees, providing tickets, and tracking the entire process.  You'll work with our Warehouse Ambassadors to ensure our visitors have amenities upon arrival.

Attributes:  This person is organized, friendly, and fun!

Time Commitment:  3-4 hours in total.

Position: Linda Eskridge

Technology Coordinator (3 Positions)

Our Technology Coordinator is responsible for designing, installing/packing, and testing all technology used within the convention including our audio and video equipment. 

Attributes:  The person who holds this position is technically capable and understands projectors, computers, and Zoom meetings.

Time Commitment:  15-20 hours in total.

Contest & Giveaways Coordinator

Our C&G  Coordinator is responsible for creating all raffle processes, coordinating prizes, and activities/requirements for giveaways.  Cross-functional communication with The Marketplace Team and marketing team for website updates, etc. will be important.

Attributes:  The person who holds this position is creative, resourceful, and organized.

Time Commitment:  3-4 hours per month.
